Quickbooks Installation Upgrade Tips

Here is Quickbooks installation guide for reference:

Note: QB data files should be stored and monitored on the server whenever possible

1) Document Current product, Version and Mode in use (mode just specifies the default views it can be changed later if wrong)

2) Go to http://support.quickbooks.intuit.com/support/productupdates.aspx Select the proper product, Version and select “Get Download” Save to centralized location (typically the night before so it has time to download)

3) Make sure all users are out of Quickbooks (If server installation you can verify using server database manager)

4) Make a backup copy of the Quickbooks data files (simple drag and copy when closed)

5) Run Upgrade installation file you downloaded on Server

6) Run same Upgrade installation file on the fastest system onsite that uses Quickbooks

7) Copy the Quickbooks data files to the fastest system and open the datafiles locally

8) Quickbooks will ask to backup the files and convert them (this is what takes most the time)

9) Convert the files one at a time and verify data on that system

10) While those are processing you can run the update to all but one of the other desktops (however DO NOT access QB data)

11) After data converted rename old server files (suggest creating old folder and move)

12) Move files converted on desktop to network server location

13) Restart server database manager tool or rescan folders

14) Test access through network from fast PC and another upgraded PC to verify multiuser access

You may have to open firewall ports. Here is the link to the ports needed: http://support.quickbooks.intuit.com/support/Articles/SLN41458

15) If all are working properly then upgrade the last PC (if you have a problem this is the system you will use to open the old QB version files)

16) Clean up any excess copies of data while still retaining backup copies and you are done!

If for any reason you do not have the QB admin password account to run the process here is where to download the tool to reset it: http://support.quickbooks.intuit.com/support/PasswordRemoval.aspx
